Week 6 Prior to Launch - Hold Associate Conversations and Train Additional Forklift Drivers

One on one conversations

Club managers should hold individual conversations with Overnight associates to explain the changes using the talking points provided.

Identify and Train additional Forklift Drivers

  • Club Managers will need to ensure additional forklift drivers are identified and trained prior to launching the Morning Stock program (minimum of four per shift).
  • Club Management Team - Provide the time, space, and forklifts for hands-on training.
  • Salaried Manager – Assign the following GLMS learning activities to the Morning Stocking Associates.

  • Club Management Team – Use the following activity to ensure your Overnight associates know how to spot a forklift.

 

Spotting a Forklift: This activity consists of enforcing safety around a forklift while it is in use during club hours of operation.

  1. Associates are required to wear the yellow safety vests 
  2. In addition to yourself, two spotters are needed, one in front and one in back, while operating the equipment on the sales floor or in the parking lot. Spotters must maintain a distance of 20 feet in front or behind the equipment while it is in motion 
  3. Pull out the yellow aisle closure straps at the end of each aisle the forklift will be working in. They are located at the end of each aisle where the product is located. Associates will need to close both aisles, including the aisle where product will be dropped as well as the other side of the aisle. Ensure no members approach the area around the forklift.
Week 5 Prior to Launch - Backroom/Steel Organization, Equipment Review, and Stocking with Efficiencies

Organize Backroom

Walk your backroom and ensure that all old equipment, fixtures, and extra steel are properly disposed of and processed accordingly.

Equipment Review

The Club Manager will need to assess all forklifts and pallet jacks are in good working order. If equipment needs to be repaired, please submit a work order.

Steel Organization

Create the steel map plan.

  1. Print out a Club print.
  2. Club manager and assistant managers - Walk the sales floor together to visualize the plan.
  3. Designed a staging location on the top steel reserve (third level of steel) for categories/aisles that do not have top stock steel.
  4. For merchandise Stocked on a shelf, slot back stock merchandise in the reserve top steel Slot back stock merchandise above the product on the sales floor. If this is not possible, use the bay to the left or right.
  5. Before you start implementing top stock plan, hold a partial pallet party to eliminate as many pallets as possible.

Online Scheduler

The Club will need to adjust their delivery windows to 4am – 10pm and block all out time the club is closed.

Week 4 Prior to Launch - Zoning and Cleaning, and Begin to Backfill Associates

Backfill Associates

Club Managers will need to start the process to backfill associates. This is only if they know with certainty that associates will be leaving the company once the transition is made.

Zoning and Cleaning

Club Manager or a designated assistant manager should show the zoning and cleaning video to all associates. They should emphasize the following:

  • How to properly zone a club
  • How to clean up spills
  • How to prepare a club for stocking
  • How not to interfere with members
  • What to do with damaged merchandise
Week 3 Prior to Launch - Providing Great Member Service and Review Launch Week Schedules

Review Schedules

Review week launch schedule to ensure associates and assistant managers are properly schedule for the morning and evening shifts.

Club Manager or designated Assistant Manager will lead a discussion with ON associates and ON assistant manager to review the following:

  • Dress code
  • Name badges
  • Proper ways to assist a member
  • How to work in TEO, photo, jewelry and other areas of the salesfloor
  • How to pick and stage an order for Club Pick

All associates will need to review the Member service document.

It is important that the Club Manager refer to the dress code policy on the wire to cover all relevant information pertaining to associates.

Week 2 Prior to Launch - Train Associates on How to Use Digital Tools and Ensure All Alarms Are Working

Check Alarms

The Club Manager will check all alarms to make sure their working properly and reach out to the local police department and let them know the club will be closed between 11:30 pm – 4 am.

Digital

Club Managers or designated Assistant Managers should lead a discussion with Overnight associates and the Overnight Assistant Manager on the following:

  • How to use a handheld (MC40 or TC70)
  • PlanIt App
    • PlanIt App streamlines communication with you team.
    • Record personal notes visible only to you.
    • Create and assign daily notes during store tours and detailed 4x4 tour notes during department deep dives.
  • Scan and Go
    • How to enroll a member in Scan and Go
  • How to use Own Your Inventory (OYI) application
    • This will help to provide actionable, interactive information to better manage Club inventory and audit processes, thus solving for replenishment and lost sales opportunities.
Week 1 Prior to Launch - Finalize Launch Week Plans and Conduct Skills Training

Finalize Launch Week Plans

Club Managers and assistant managers will review and finalized launch week plans.

Skills Training

Club Managers will need to ensure associates are trained in the following:

  • All positions on the sales floor including picking merchandise for Club Pickup, photo, jewelry, TEO and more.
  • How to be a runner
  • Club Pick-up
  • How to receive merchandise
  • Basics of fresh (stock produce, etc.)
