Individual Meetings with Associates

Being well prepared for the discussion with each individual associate will help you be more effective in communicating to the associates.

Review Toolkit
Thoroughly read the entire toolkit: Be sure to keep in mind these important principles which should guide your actions:
  • Preparation is key for each discussion
  • Treat each associate with dignity and respect
  • Stay on message; however, be authentic in your communication and don’t rely verbatim on notes
Time & Location

Determine time and location of the meeting: For individual one-on-one meetings with each associate, you will need to plan to meet the associate in a pre-arranged private location to discuss the changes.

If you have an associate on a Leave of Absence (LOA) during the time of announcements, the Club Manager must contact them via phone to be notified of the change. Click here for specific instructions regarding this.

Materials for Associate

Review materials that are relevant to each particular associate: Determine which scenario applies to the associate you speak to ensure you are comfortable with the talking points related to that particular scenario.

Conversation Information
Verify you have the following information available for each conversation:
  • Applicable talking points (not to be shared with associates)
  • New Org Chart
  • Block Schedule Availability Worksheet (Market Champion will send to each Club Manager)
  • If an associate is under the minimum pay grade level they will automatically be bumped to the minimum of that level. Utilize Workday, if needed, to identify the associates who have a pay change as a result of their job code movement. Click here for instructions on running this report in Workday.
    • New Job Description (if applicable) - print a copy
    • TENs from (if applicable)
  • Associate Availability Form (for second conversation) - print a copy
