The Personnel Training Coordinator (PTC) position is being eliminated. This is a business decision and is not a result of any individual’s work performance. These are valued associates and they have played an important role in the club. Market Managers and Club Managers should ensure these associates are respected and continue to feel a part of the team through their transition.
Associate Notification Information
- With the elimination of the PTC position, these associates will be given a notification period (Feb. 5 - March 29) to find an open role in the club or another facility or elect to receive a severance package (if eligible).
- Severance eligibility is determined by associates meeting a specific set of criteria, including but not limited to:
- Full-time associates with continuous employment with Sam’s Club for at least one full year
- Part-time associates with continuous employment with Sam’s Club for at least five full years
- Impacted associates who are eligible at the time of the position impact announcement or become eligible by the end of the notification period
- If a severance eligible-associate does not secure a position prior to their notification period ending, and would like to request severance, Club Managers must submit a request on the WIRE at:
- Knowledge Center > People Support > HR Services > HR Admin > Tools and Reports > Severance Request
- During their notification period, associates will be asked to continue working in the club.
- The PTC can be considered for any open role in the club or another facility for which they have met the minimum qualifications and can perform the essential functions of the job with or without a reasonable accommodation.
- If an impacted associate does not secure a position by the end of the notification period on March 29, his/her direct supervisor will need to initiate the termination in Workday using the reason code "Involuntary - Position Eliminated.” Please refer to the Resources section for a process guide.
Notifying Associates on Leave
- On Tuesday, Feb. 5, all club managers should notify impacts associates. Every attempt should be made to personally inform the associate.
- If you are unable to contact the PTC by 4 pm on Thursday, Feb. 7, please send an email to Sam's Field People Support SamsFieldPeopleSuppt@samsclub.com and you will be provided a letter to send certified mail.
Protected LOAs
When an associate returns from a protected LOA, the associate should be provided the same options and notification period that were provided to active associates within their same positions. Those options may include:
- Same transition period as those active
- Waiving of eligibility requirements
- Preferencing for a new position
- Possible Severance Eligibility
Non-Protected LOAs
For those associates on non-protected LOA, the following should occur:
- If the associate returns from their current leave during the transition period (before March 29), provide the associate the impacted associate options (waiving eligibility requirements and discussing possible severance eligibility) until the end of the transition period.
- If the associate does not return from his/her current leave by the end of the transition period (March 29) and does not secure another position with the company, then the associate’s employment with the company should be terminated on March 29.

PTC Responsibilities During the Notification Period
The PTCs should focus on the following activities:
- Securing a new role within their current club or another facility
- Assisting in training salaried managers and leads on new ways of working
- Helping to hire new associates as openings exist
As of Feb. 5, the PTC should not be the only associate completing HR-related tasks. They should be transitioning the work to the assigned salaried managers and leads (see New Ways of Working for more details).
